About the role


The Funding Apprentice is responsible for providing administrative support to the Funding Team to help ensure applications for grants and grant awards are processed effectively and efficiently.


The role supports funding processes from application through to payment, maintains accurate grant data and records, and provides dedicated diary and administrative support to the Group Funding & Impact Director.

You would help the Funding Team ensure an excellent experience as well as ensuring we follow good governance practices. You would also help support the smooth coordination of the Funding Team.


The role includes enrolment to a Level 3 - Business Administration Apprenticeship with formal training resulting in a professional qualification. 


This apprenticeship offers a fantastic opportunity to gain a broad range of skills in payroll, systems management, and data analysis, all while working alongside experienced professionals.


As an apprentice you will:


  • Have regular one to one sessions with a dedicated trainer either remotely or through visits to your workplace
  • Learn and train for a specific job
  • Get paid and receive holiday leave
  • Get hands-on experience in a real job
  • Study for at least 20% of your working hours
  • Complete assessments during and at the end of your apprenticeship

Key Responsibilities

  • Grant Application Administration
  • Administer grant application processes across multiple funding programmes
  • Set up and manage application rounds within the grants management system
  • Act as the first point of contact for applicant queries and system support
  • Log, acknowledge, and track applications
  • Carry out eligibility and completeness checks, flagging issues to funding managers

Due Diligence & Compliance Support

  • Collect, review, and record due diligence documentation (e.g. governance, safeguarding, policies)
  • Verify applicant charity registration, legal status, and financial information
  • Support compliance with data protection (GDPR) and internal funding policies
  • Maintain accurate audit trails and grant records in line with governance requirements

Grant Offer, Contracting & Payments Support

  • Prepare grant offer letters and agreements using approved templates
  • Ensure grant conditions are clearly communicated and formally accepted
  • Liaise with finance colleagues to process grant payments accurately and on time
  • Track grant commitments and payments, maintaining up to date records

Systems & Data Management

  • Maintain and update the grants management system to ensure data accuracy and consistency
  • Support audits and information requests from trustees, staff, and external bodies
  • Identify opportunities to improve systems, workflows, and administrative processes

Internal Coordination & Governance Support

  • Support the preparation of papers and documentation for funding panels, executive meetings, and trustee meetings
  • Maintain records for any grants awarded between meetings, or by Group Funding & Impact Director
  • Record and communicate funding decisions clearly and accurately

Executive Support & Diary Management

  • Provide proactive diary management for the Group Funding & Impact Director
  • Coordinate executive level meetings, funding panels, and external engagements
  • Prioritise and manage meeting requests in line with strategic priorities
  • Prepare, circulate, and collate agendas, papers, and meeting materials
  • Track and follow up agreed actions where required

External Communication & Applicant Experience

  • Communicate clearly, professionally, and empathetically with applicants and grantees
  • Ensure funding guidance and written communications are clear and up to date
  • Support accessibility and reasonable adjustments throughout funding processes
  • Uphold the Foundation’s values through tone, consistency, and responsiveness

Continuous Improvement & Team Support

  • Identify recurring issues or inefficiencies within funding administration
  • Contribute ideas to improve processes, systems, and applicant experience
  • Support new funding rounds, pilot funds, or strategic initiatives
  • Provide flexible administrative support across the funding and impact team.

Desirable

  • Experience role, ideally within grant making, charity, or public sector contexts and a grants management system (e.g. Blackbaud, Plinth), with appropriate training provided
  • Experience supporting senior staff or executives, including diary management
  • Knowledge of charity governance, compliance, or due diligence processes
  • Experience working in a funding, philanthropy, or foundation environment
  • Competence using databases, CRM or grants management systems.

Wage is £26,000 per annum

Training you'll get

Apprenticeship L3 Business Administrator

Apprenticeship standards are aimed at developing skills within the Apprentices chosen career route, each standard has set knowledge, skills and behaviours required to be successful within the job role. This will include the completion of functional skills in Maths and English.

Once the apprentice has completed a minimum of 12 months training and the employer and Inspiro Learning regional trainer confirm they have met all the requirements of the standard they will be put through to end point assessment. The end point assessment is independent from the training and includes a variety of assessment methods which test the skills and knowledge of the apprentice to ensure they are fully competent in their role.

Each Apprentice will be supported throughout the apprenticeship by a structured programme of teaching, e-learning, face to face training and workplace mentoring; this will encourage and help them to meet the requirements of the new standards and will prepare them for the end of point assessment.

Future prospects

This role is for a 2 year contract were you will gain experience working in the funding team and undertake an apprenticeship in business administration.
