Business Administration Apprentice

Hours of employment: 37 hours per week (Tuesday to Saturday)
PRINCIPAL FUNCTIONS AND DUTIES:
1. Carryout reception duties including welcoming residents and visitors, taking bookings and payments, selling Town Council merchandise.
2. To support the unlocking and locking of reception.
3. Keep the reception area tidy and literature up to date.
4. Receiving and directing telephone calls and taking messages.
5. Receipt and distribution of post together with franking outgoing post.
6. Assisting Town Council staff in the preparation and roll out of Town Council events, as required.
7. Occasional support with administration of allotments.
8. Supporting the invoicing of bookings and rents, management of the Town Council booking system
9. Occasional assistance with the preparation of agendas, minutes, reports and communications.
10. To occasionally attend, minute and report meetings as required.
11. Receive complaints, enquiries etc and ensure they are recorded as appropriate and passed to the relevant officer for action and/or response.
12. To attend staff meetings and training,including work towards the academic elements of the role, as required.
13. Implement and keep up-to-date the central paper and electronic filing systems.
14. Assist in the preparation of periodic newsletters and communications to Councillors and residents.
15. Maintaining press cuttings register from the North Devon Gazette and Journal.
16. Stock control of the stationery and merchandise and request for ordering.
17. Distribution of emails from admin@barnstapletowncouncil.gov.uk and actioning where appropriate.
18. Provide support to the Community Team in the maintenance of administrative systems, funding applications and supporting events.
19. Provide support to the Finance Team with all usual accounting functions including cheque payments, invoicing, banking, statutory returns, with the preparation of financial reports and other documents as required.
20. To assist with the administration of Council grants
21. To support monitoring and of social media and the Council website.
22. Such other duties as required,commensurate with the responsibilities for this role.
