We are looking for a versatile individual to join our team as an Optical Assistant & Business Administrator to bridge the gap between patient care and smooth daily business operations.


Key Responsibilities
1. Front Desk & Business Administration
Greet patients warmly upon arrival, manage the check-in/check-out process, and handle incoming phone calls and emails.
Schedule and confirm appointments utilising our patient management software.
Accurately maintain and update electronic patient medical records.
Process payments, manage daily cash reconciliations, and handle basic bookkeeping tasks.
Verify insurance coverage, submit claims accurately, and follow up on billing inquiries.
2. Optical Support & Patient Care
Guide patients through the process of selecting frames and lens options based on their lifestyle and prescription.
Pre-screen patients using standard optical equipment prior to their exam.
Assist with minor frame adjustments, fittings, and repairs.
Educate patients on contact lens insertion, removal, and general care.
3. Practice Operations & Inventory
Maintain the presentation and cleanliness of the retail floor and reception area.
Monitor inventory levels for frames, contact lenses, and general office supplies; place orders with suppliers as needed.
Liaise with optical labs to track the status of patient orders and notify patients when ready for collection.

Requirements & Skills
  • Strong organizational skills and the ability to multitask in a retail/medical environment.
  • Excellent communication and customer service skills.
  • Proficiency with computer systems, electronic medical records (EMR), and basic office software.
  • Prior experience in retail, medical administration, or optics is preferred but not always required (on-the-job training is often provided).
  • Tech Skills: Proficiency with computers, office software (MS Office/G Suite), and billing systems. Experience with Electronic Medical Records (EMR) or optical software is highly desirable.

Qualifications required

  • Experience: 1–2 years of experience in medical reception, business administration, retail sales, or customer service. (Prior optical experience is a major plus, but we are willing to train the right candidate!)
  • Education: High school diploma or equivalent required.

Upon completion we can offer permanent or management position if theycan take on responsibility and manage their role and tasks during theapprenticeship period.
